This page explains how NDIS-funded psychological services are billed at Chris Gilbert Psychology. It covers the applicable hourly rate, how fees are calculated, what types of support are billed separately, and what a typical invoice looks like.

NDIS fees & how they are calculated

From 1 July 2026, the NDIS maximum hourly price limit for registered psychologists is $252.99. Chris Gilbert Psychology charges at the national rate of $252.99 per hour unless an individual fee arrangement has been agreed.

NDIS fees are not charged as flat session amounts. They are calculated in exact per-minute increments based on the applicable hourly rate. Each support type is billed separately based on the actual minutes completed.

Why do invoice amounts appear as unusual decimal figures? Invoicing software applies a standardised rounding formula that is consistent with NDIS per-minute billing conventions, meaning invoice amounts will always appear as precise decimal figures rather than round numbers. This is normal and is not an error.

Each minute is converted to a fraction of an hour, multiplied by the hourly rate of $252.99 and rounded to the nearest cent.

For example:

  • 15 minutes = $63.25

  • 19 minutes = $80.96

  • 50 minutes = $209.98

Because most minute values do not divide evenly into an hour, invoice amounts will rarely appear as round numbers. This is the standard NDIS billing convention used by NDIS providers and plan managers operating under the Pricing Schedule, and is built into invoicing software accordingly.

Invoicing & types of supports

The NDIS requires that the following support types are billed as separate line items and codes where applicable:

  • Direct Support

  • Telehealth (TH)

  • Non-Face-to-Face Support (NF)

  • Cancellations (CA)

  • NDIA Requested Reports (RR)

As such, an invoice may look like the following:

Standard therapy session for a 6yo

Non-face-to-face support

All face-to-face therapy has a non-face-to-face component in order to be of a high quality of service and care. As a general guide, a typical 50 minute session includes about 15-20 minutes on non-face-to-face service. However, this can vary significantly from client to client, and can even vary for the same client depending upon their current needs on that day. Where additional non-face-to-face work is required beyond the standard range, this will be reflected on your invoice.

Non-face-to-face support may include any of the following, where relevant to your care:

  • Writing and reviewing session notes and progress documentation

  • Developing or updating your individualised treatment plan

  • Creating or tailoring therapeutic materials, resources or worksheets specific to your needs

  • Reviewing assessment results or prior clinical reports relevant to your treatment

  • Clinical reading or research directly related to your presentation or treatment approach

  • Preparing for your next session based on your current progress

  • Responding to clinically relevant emails or messages from you or on your behalf

  • Safety planning documentation or risk-related follow-up

  • Mandatory reporting obligations, where these arise in connection with your care

What is NOT charged as non-face-to-face support?

General business administration, including appointment scheduling, invoicing, payment processing and practice management, is not charged as non-face-to-face psychological support. These costs are incorporated into the NDIS hourly rate.

Individual arrangements

  • Agreed Caps on Non-Face-to-Face Work: You may request an agreed limit on discretionary non-face-to-face work per standard appointment. Where this is clinically reasonable, I will work within the agreed limit. Some clinical, safety, mandatory reporting or regulatory activities may be required regardless of a cap.

  • Discretionary Fee Arrangements: Where individually agreed, a discounted fee (by way of a cap on charged minutes per appointment) may be offered as a courtesy, either as a one-off or regular agreement. This reflects a discretionary arrangement and does not limit the clinical work completed on your behalf. Actual support time will continue to be recorded in your clinical file regardless of the amount charged. Where clinical needs, complexity or circumstances require additional work beyond a standard arrangement, this may be reflected in the invoice. Any such variation will be applied in accordance with your individual service agreement and the NDIS Pricing Schedule, and will not exceed the applicable NDIS price limit.
